Student Program Funding Administration

Student Program Funding Administration (SPFA) supports funding opportunities for KU registered student organizations and campus departments through the management of over $25 million annually in Required Student Fees and Pepsi Program opportunities - ensuring all funding allocations align with university standards and are fulfilled in a timely and efficient manner. SPFA serves as the primary Advisors for Student Senate, providing supervision and leadership to KU's student governance executive functions.

Pepsi Program

The Pepsi Program is to be used for university programs that benefit a significant portion of the KU student community (current KU students, faculty, and staff), promote a sense of community life at KU, promote academic life at KU, and support new programming. The Pepsi Program includes Pepsi Funding and Pepsi Product requests.

Pepsi Product Requests

Requests must meet the following criteria to be eligible for Pepsi Product:

  • Applicants must be a registered student organization or department on the KU Engage website through the Student Engagement Center
  • Organizations or departments can request product twice per semester (Fall/Spring)
  • The primary target audience for the program or event must be currently enrolled KU students
  • The program or event must be open to all currently enrolled KU students and KU community
  • The program or event must be free to attend for KU students.

Additionally, there is a preference for events that occur on campus and approved product for events taking place on the weekend must make plans to pick products up by the close of business the Friday before the event. 

Pepsi Product is not awarded for:  

  • Weekly organizational meetings
  • Fundraising or philanthropy events

Applications must be approved at least 14 business days prior to the event date. Please submit applications at least 3 weeks prior to event and to the semester in which you are seeking product donation. 

This is only a request. Product awards are not guaranteed, nor are the amounts requested. 

Prior Pepsi product awards should not be considered a guarantee of future awards. 

 

Communications regarding award decisions will be sent in the KU Engage platform and fulfillment instructions will be sent from eventservices@ku.edu to the contact email associated with the application.

Pepsi Funding Requests

Requests must meet the following criteria to be eligible for Pepsi Funding:

  • Applicants must be a registered student organization or department on the KU Engage website through the Student Engagement Center
  • Organizations or departments can request funding only once per semester (Fall/Spring)
  • The primary target audience for the program or event must be currently enrolled KU students
  • The program or event must be open to all currently enrolled KU students and KU community
  • The program or event must be free to attend for KU students.

Additionally, there is a preference for events that occur on campus and to use KU catering for the food vendor. If food is requested from a vendor other than KU Catering, an exemption form will need to be submitted.

Pepsi Funding does not cover:  

  • Travel expenses
  • Registration fees
  • Fundraising or philanthropy events
  • Single use décor items
  • Prizes, gifts, or giveaway items

Pepsi Funding cannot be used to cover the entirety of an event or program's expenses. 

Presentations must be given to the Pepsi Committee at least two weeks before an event to be considered. Applications must be submitted by the Friday before your presentation. 

Following the submission of your application, you will be notified by email of the day and time your organization is scheduled to present. Presentations are mandatory at least 2 weeks prior to your event. 

Presentation requirements: 

  • A description of your organization
  • A description of your event, including the following:
    • expected student attendance 
    • itemized budget and the portion of the budget expected to be funded via the Pepsi Program (this includes all funding sources)
    • quotes or estimates obtained from vendors, such as KU Catering or Jayhawk Ink
    • Food Policy Exemption Form approval, if applicable.
    • description of event activities and offerings if funding is not obtained.

Organizations are scheduled to present in order of applications received as long as time to fulfill request is adequate. Your presentation date may be moved if necessary. 

Prior Pepsi Funding awards should not be considered a guarantee of future awards.
